PTA Officer Duties

President: The president shall preside over all meetings of the association and shall be ex-officio member of all committees except the nominating committee. The president shall provide leadership for its members. The president shall appoint chairpersons of standing PTA committees and event committees with the approval of the Executive Board. The president shall delegate responsibilities to other PTA members and shall encourage meaningful participation in all parent activities. The president shall attend all regular meetings of the presidents council and shall also be a core member of the SLT.

The president shall meet regularly with the Executive board in accordance with these bylaws to plan the agenda for the general membership meetings. The president shall be one of the signatories on checks. The president and his/her designee shall represent the PTA on district committees. The president shall assist with the June transfer of records to the incoming PTA Executive Board.

Vice President: The Vice President shall assist the president and shall assume the president’s duties in his/her absence or at the president’s request. The vice president shall assist with the June transfer of records to the incoming PTA Executive Board.

Treasurer: The treasurer shall be responsible for all financial affairs and funds of the PTA. The treasurer shall also be responsible for maintaining an updated record of all income and expenditures on school premises and shall be a signatory on checks. The treasurer shall adhere to and implement all financial procedures established by the PTA. The treasurer shall present and provide copies of financial reports at all general meetings. The treasurer shall also prepare and provide the January 31 interim and June annual financial accounting reports. He/she shall make available all books and financial records for members upon request and for audit when necessary. The treasurer shall prepare all financial records and assist with the June transfer of PTA records to the incoming PTA Executive Board.

Recording Secretary:
The secretary shall maintain the official record (minutes) of the proceedings and actions of all PTA meetings. The responsibilities include the preparation of notices, agendas, sign in sheets and materials distributed. The secretary shall prepare and read the minutes of each general meeting and shall make copies of the minutes available upon request. He/she shall maintain custody of the PTA records on school premises. The secretary shall sign and incorporate all amendments into the bylaws and shall ensure that signed copies of the PTA bylaws are on file in the principal’s office.

Corresponding Secretary:
The secretary shall be responsible for reviewing, maintaining, and responding to all correspondence to the PTA. The secretary shall be responsible for recording all PTA mail and prepare any correspondence necessary. The secretaries shall prepare and distribute notices and agendas of all PTA meetings. The secretaries shall maintain files on all mail and correspondence, which must be kept on file in the school. The secretaries shall assist with the June transfer of all PTA records to the incoming Board.

Director of Development: The Director of Development shall oversee all PS 132 PTA fundraising activities, serving as a representative of the PS 132 PTPA to potential and current funders. The Director of Development shall help develop fundraising processes as well as design and implement internal tracking systems for resource development. The Director of Development shall cultivate relationships with existing and new foundation, individual, and corporate donors and sponsors. The Director of Development shall liaise with Grant Writing Team to research, write and edit grant proposals as well as develop budgets for grants and corporate giving. The Director of Development shall assist with the June transfer of all PTA records to the incoming Board.

Director of Communications: The Director of Communications shall take ownership of the development and implementation of the strategic communications, marketing, and public relations plan to advance brand identity and broaden awareness of the PS 132 PTA programs and events. The Director of Communications shall manage the online presence of the PS 132 PTA and serve as the spokesperson on media interactions. The Director of Communications shall announce and advertise all PTA meetings, events, news, maintain all online accounts, keep password records and update software as necessary. The Director of Communications shall assist with the June transfer of all PTA records to the incoming Board.

Volunteer Coordinator: The Volunteer Coordinator shall recruit, train, manage and appreciate the volunteers who powers all fundraising events. The Volunteer Coordinator shall work closely with he Director of Development, Director of Communications and the Fundraising Committee to develop recruiting plans, build teams and guide new volunteers. The Volunteer Coordinator shall assist with the June transfer of all PTA records to the incoming Board.
